What can a small business actually automate first?

How do you automate quoting?
Automated quoting captures the enquiry, applies your pricing rules, sends a branded quotation in minutes instead of days, chases it when it is not accepted, and turns an acceptance into a job and an invoice. Nobody retypes what the customer has already said.
Intake sets the pace: the automation asks the same qualifying questions on whatever channel the enquiry arrives on — a form, WhatsApp, or a call answered by a voice agent. Your rate card, quantity breaks, travel bands and VAT then do the arithmetic, and the output is your own numbered quotation, logged against the customer record.
How do you automate invoicing?
Invoice automation raises the invoice from an accepted quotation or a completed job, writes it into your accounting system, sends reminders on overdue accounts and reconciles payments against the record. It closes the gap between finishing work and billing for it.
The compliance detail is specific here. SARS requires a full tax invoice above R5 000, permits an abridged one at R5 000 or less, and prescribes issue within 21 days of the supply; the SARS guidance on tax invoices lists every required field. A missing field stays invisible until an input tax deduction is refused.

How do you automate bookings and cut no-shows?
Booking automation lets a customer take a real slot themselves, writes the appointment into your calendar, and sends the confirmation and reminder over WhatsApp without anyone remembering to. A no-show usually begins as a forgotten appointment.
We publish no no-show reduction percentage, because we have no verified South African figure behind one. The mechanism, though, is exact: when a customer messages you a 24-hour customer service window opens in which you may reply freely, and once it closes only pre-approved template messages may be sent. A reminder sent after that window has closed therefore has to be a template, and Meta’s template categorisation rules only allow the utility category where the message is non-promotional and either specific to or requested by that customer — so a compliant build gets the wording written and approved up front. Can AI sort and route my inbox?
AI inbox triage classifies every incoming message, extracts the fields that matter, routes it to the right person or system, and drafts a reply for a human to approve. It is strong at the first three and useful but not autonomous at the fourth.
Classification is the workhorse: a shared inbox carries a handful of recognisable kinds of message — a new enquiry, a supplier invoice, a complaint, an appointment change — and sorting those reliably turns an inbox you dread into one you scan. How does this keep my CRM clean?
Automation keeps a CRM clean by writing to it automatically instead of relying on memory: every call, message and quotation lands on the correct record, duplicates merge on a rule, and missing fields fill from the source. A CRM decays when updating it is a separate chore.
